Invoice Preview and Printing
After generating an invoice, or by clicking View on a generated invoice in the billing list, you see the invoice preview. This is a read-only view of the finalized invoice.
Preview Layout
The preview displays the invoice as it will appear when printed:
Company name at the top left. Invoice number (with prefix), date issued, and due date at the top right.
Invoice To section showing the client’s name, company, address, and email.
Company address and Bank/Billing Details sections displaying your organization’s billing information.
Time Entries
Each project’s time entries appear in their own section with the project name and date range. The table columns are Category, Rate, Time, and Amount. If entries are linked to Time Flow tasks, the epic and task references appear under the category name along with the entry count. A project total row shows the combined time and amount. Any note added during editing appears in italics below.
Additional Items
Custom line items appear in a separate table with Item, Rate, Qty, and Total columns. Each item’s description appears below the item name.
Invoice Note and Totals
An editable Invoice Note field is available on the preview page. Text entered here is visible to the client on the printed invoice.
The totals section shows:
Subtotal
Discount — only shown if a discount was applied.
Tax — with the configured tax label and percentage, or Tax Exempt if the client is exempt.
Total
If terms and conditions are configured in your organization’s Billing Settings, they appear at the bottom of the preview.
Preview Actions
Three action buttons appear at the bottom of the preview page:
Revert to Draft — only available when the invoice status is "generated". Returns the invoice to draft status, unlocks all associated time entries, and makes the invoice editable again. When you regenerate the invoice, it picks up any new billable entries in the configured date range.
Void Invoice — available for generated, due, paid, overdue, or uncollectible invoices. Opens a dialog requiring an admin note explaining the reason for voiding. Voiding permanently sets the status to void and unlocks associated time entries so they can be rebilled. The voided invoice remains in the system for reference.
Print Invoice — opens the print dialog.
Print Dialog
The print dialog provides options for how the invoice is output:
Output Format
Print — opens a new window with the formatted invoice and triggers the browser’s print dialog.
PDF Download — generates a PDF file and downloads it as Invoice-{number}.pdf.
Invoice Watermark
For generated invoices, you can select a watermark that prints as large semi-transparent text rotated across the page:
None — no watermark.
Due — orange watermark.
Overdue — red watermark.
Paid — green watermark.
Draft invoices always print with a "Preview / Not for Billing" watermark regardless of this setting.
Time Entries Addendum
Toggle Include all time entries addendum to append a detailed breakdown to the printed invoice. The addendum starts on a new page and lists every individual time entry sorted by date, with columns for Date, Project/Task (including category and task reference), Description, Time, and Duration. A summary line at the top shows the total time and number of entries.
The addendum is useful when your client requires a line-by-line accounting of all time worked, in addition to the category-level summary on the main invoice.
