Custom Reports

Custom lets you build your own report from Report Cards, save it, and share it as a link. Open it from Reports > Custom in the sidebar. Owners, admins and managers can use it.

A custom report is a saved set of choices: a name, the projects it covers, a date range, and the Report Cards it shows, in order. Each Report Card answers one question about the work and has its own code, such as Hours by project (AT-102). Every Report Card is described on Intelligence Reports. Your saved reports are visible only to you.

Report Ledger

The page opens on the Report Ledger, the list of your saved reports. Click Add Report to start a new one. The search box matches report names and the names of the projects they cover.

Each row shows the report's name, how many projects it covers (All projects when none were picked), its date range, and how many Report Cards it holds. The magnifier beside that count (List report cards) lists them by name and code, in order. Each row has three actions:

  • Edit (pencil) opens the report in the Report Builder.

  • Share copies a link to the report. See Sharing, below.

  • Delete (X) asks you to confirm, then removes the saved report. Links you already shared keep working until they expire.

To see a report, share it and open the link.

Report Builder

Add Report and Edit open the Report Builder. The catalogue of Report Cards is on the left, and the Composition panel is on the right.

Each card in the catalogue shows its code and name. At a glance and Project card come first, and the rest are grouped, Effort through Origin. Type in Filter to narrow the cards by name or description, and click the magnifier on a card to see what it measures. Click a card to add it to the report, and click it again to remove it.

The Composition panel sets up the report:

  • Name: what the report is called in the ledger.

  • Projects: tick the projects to cover. Find a project narrows the list. All projects covers every active project at the time you share.

  • Range: pick a shortcut or two dates. A shortcut follows the calendar, so Current Month is the month you share in. Two dates always cover those dates. New reports start on Current Month.

  • Report cards, in order: the cards you picked. Drag a row to reorder; the finished report follows this order. The X on a row removes that card.

  • Pin to dashboard: shows the report in the Reports section of the Dashboard. It can be turned on once the report has a name and at least one Report Card.

Save becomes available once the report has a name and at least one Report Card. When you are editing, Save replaces the saved report. Cancel returns to the ledger without saving.

A manager's reports cover only the projects they are a member of, plus any project whose Time Tracking is All Personnel, and never show money.

Sharing

Share copies a link to the report. The link opens in any browser with no sign-in, and ends with a six-character code; opened without the code, the page asks for it. A link works for fourteen days. After that, or with a wrong code, the page says the report was not found.

Each link is a snapshot. Editing the report never changes a link you already sent, so share again for a link with your changes.

What the reader sees

The link opens an intelligence report, a single page with:

  • The range, the days it spans, when it was made, and the projects it covers.

  • A Warning box for gaps in the data, such as a billable category with no rate, tasks with hours but no estimate, or a project with no budget.

  • Your Report Cards in order, each with its name, code and description. A card that doesn't apply is left off; Tasks needing attention, for example, appears only when the day you share falls inside the range.

  • Under each card, Copy link, Print and info. Print prints the whole page, and info explains what the card measures and how to read it.

Printing is the only export. Custom reports have no CSV, Excel or PDF export.
