Subscription Overview

The Status / Overview tab shows the current state of your organization’s subscription, including your plan, billing period, active users, and upcoming renewal date. Open Settings > Subscription and select the Status / Overview tab.

Subscription Status

At the top of the page, one or more colored chips indicate your current subscription state:

  • Trial — your organization is on a trial period. The chip appears in amber.

  • Active — your subscription is active and in good standing. The chip appears in green.

  • Cancels at period end — an additional outlined chip that appears when your subscription is set to cancel at the end of the current billing period.

  • Pending downgrade — an additional outlined amber chip that appears when a plan downgrade has been scheduled for the end of your current billing period.

Plan and Billing Summary

Below the status chips, the overview displays your current plan details:

  • Plan — the name of your current plan.

  • Billing period — either Monthly or Yearly.

  • Active Users — the number of active users in the current billing cycle.

  • Current User Maximum — shown only on yearly plans. This is the high-water mark of active users during the current term, which determines yearly billing.

Next Renewal

The renewal date shows when your current billing period ends and the next cycle begins. If you are on a trial, this is the date the trial expires.

View Billable Users

Click View Billable Users to open a dialog listing every user who has been active during the current billing cycle. The table displays three columns:

  • Username

  • Email

  • Activated — the date the user was activated.

If no users have been activated in the current cycle, the dialog shows "No billable users in the current cycle."

A "billable" user is any user who has the ability to log time in a given month, ie. any user marked "Active" in the Personnel List (see Managing Users). Only users who's account remains marked inactive for the entire billing cycle are not counted as Active.

Upgrades

When you activate or upgrade your subscription, you gain access to the new features immediately after the upgrade has completed. For upgrades, the cost is prorated based upon the days remaining in your current billing cycle.

End of Trial

When your trial ends, you will automatically be downgraded to the Free account. You will lose access to any features that are not available to that level (such as Time Flow), but all data remains intact should you upgrade at a later date.

Scheduled Changes

When a plan downgrade has been scheduled, an additional section appears below the renewal date. It shows the name of the plan you are downgrading to and the date the change takes effect.

To cancel a scheduled downgrade and keep your current plan, click Cancel downgrade. A confirmation dialog asks you to confirm. Click Yes, cancel to remove the scheduled downgrade, or No to keep it in place.

When a subscription is downgraded or cancelled, access to the current plan's features remains until the end of the current subscription cycle.
